Article Submission & Guidelines

Articles of historical significance are always welcome; the yearly deadline is May 1st.

The following article submission guidelines were approved by the JPHS Executive Committee on January 10, 2009.

JPHS Journal submission guidelines:

I. Preparing a submission for the JPHS Journal

  • All written submissions should be typed so that they are easy to read and edit, if necessary.
  • Submissions to the Editor may be submitted electronically or as hard copy.
  • Electronic submissions shall be in the form of an attachment to an e-mail or on suitable storage material ( e.g., CD or DVD).
  • Submissions should be double-spaced with 1” margins all around.
  • Document size should be limited to 8.5” x 11”.
  • Submissions should be numbered consecutively, beginning with the title page.
  • All submissions must begin with a title page which provides the following information: The title of the submission, author’s name(s), mailing address, telephone and e-mail address of the author responsible for correspondence about the submission and any disclaimers or acknowledgements, including sources or resources in the form of grants or other support.
  • Copies of any permission needed to reproduce any part of the submission; to use figures; or to report information about identifiable people must accompany the submission, if applicable.
  • Submissions must be written in proper English and must use conventional spelling, grammar, punctuation, and capitalization; the current edition of MLA Style Manual and Guide to Scholarly Publishing or similar guide must be used.
  • Only standard abbreviations should be used; the full term for which an abbreviation stands should precede its first use in the submission unless it is a standard unit of measurement.

II. References

a. The author(s) should provide direct references to original research sources.

b. The author(s) should check the accuracy of all citations.

c. References should be numbered consecutively in the order in which they are mentioned in the submission and should appear as endnotes. Approved 01/10/2009


III. Figures, illustrations and/or photographs

a. Figures can be either professionally drawn and photographed or submitted as photographic quality digital prints.

b. The author(s) should provide a version of the figure suitable for printing either in JPEG (JPG) or GIF format that will produce high quality images in an electronic version.

c. Scanned images of older photographs or documents may also be submitted.

d. Titles and detailed explanations should not appear on the figures themselves, but rather in an easily read legend or caption.

e. If photographs of people are used, either the subjects must not be identifiable or their photographs must be accompanied by written permission to use the photograph, if this is possible

f. Whenever possible, permission for the usage of photographs, artwork, and other figures should be obtained.

g. Figures and other materials that are in the public domain do not require permission to reproduce, but the location or resource of such materials must be named.


IV. Copyright concerns

a. While many journals ask authors to transfer copyright to the journal, the JPHS Journal is an “open access” journal.

b. The JPHS Journal is copyrighted as a whole body of work.

c. Authors are responsible for obtaining copyright clearance for included material where applicable.


V. Redundant publication

a. Redundant (or duplicate) publication is a publication that overlaps substantially with one already published in print or electronic form.

b. When making a submission, the submitting author(s) should make a full statement to the Editor as to the status of the submission with respect to redundant or duplicate publications.

c. If a redundant or duplicate publication is attempted or occurs without such notification, author(s) may expect editorial action to be taken, including possible rejection of the submission.

d. If the Editor was not aware of the violation and the submission has already been published, then upon discovery a notice will be published with or without the author’s explanation or approval in a subsequent issue of the journal and on the JPHS website. Approved 01/10/2009.


VI. Error Correction

If the submitting author determines that a published submission needs to be corrected or retracted, an explanation must be labeled appropriately and communicated to the Editor as soon as possible for citation in a subsequent issue of the journal and on the JPHS website.


VII. Submission Content

a. The author(s) agrees that he, she, or they solely own all the copyrights to material submitted or have permission to use material submitted.

b. The author(s) is responsible for obtaining the rights to any material submitted.

c. An author’s submission gives and assigns to the JPHS the irrevocable rights to use, reproduce, and distribute the content in any appropriate manner.

d. It is the desire of the JPHS that no advertising be present in the JPHS Journal, either in print or in electronic form.

e. The JPHS will not publish any submission that contains content deemed by the Editor or the Journal Advisory to be inappropriate for publication or distribution.


VIII. Publication rights

a. The JPHS Editor and Advisory Board have the sole discretion as to whether content submitted is published in print or electronic form.

b. If a submission does not satisfy these JPHS submission guideline requirements, the JPHS reserves the right to edit the submission such that it satisfies the requirements, with notification of such intent to the author(s).


IX. Additional information and requirements

a. All submissions should be limited to the historical significance of persons, places, or events in the Jackson Purchase area of Kentucky and Tennessee.

b. All submissions contributed to the JPHS Journal should be accurate to the best knowledge and intent of the author(s).

c. Because JPHS is a non-profit organization, it cannot support or endorse candidates for public office.

d. All material should be documented, referenced facts, not necessarily personal opinion, unless that opinion is truly a part of and adds significant meaning to the material. Approved 01/10/2009.

e. Submissions may not subsequently be published elsewhere without the permission of the JPHS.

f. All submissions should be received no later than May 1st of each calendar year in order to be considered for publication in that year’s edition of the JPHS Journal. Any change in this deadline will also be published in the JPHS newsletter.

g. There will be no remuneration for publication in the JPHS Journal.

h. Any views expressed in the JPHS Journal belong to the respective author(s) and are not necessarily those of the JPHS membership, the Editor, or the Executive Committee.

i. The JPHS will not accept responsibility or liability for inaccuracies.

j. Submitting material to the JPHS Journal for publication indicates your agreement with these guidelines.

k. In preparing submissions, the author(s) should keep in mind that the audience may not be JPHS members.
